Custom software

Custom software development for trades and service businesses.

Software built around the way your business actually works. Custom software development for trades, clinics, cleaning companies, property services, consultancies and agencies across Australia: quoting tools, CRMs, rostering, bookings, client portals and dashboards, connected to the tools you already use.

A fixed written quote before we start. Pay upfront or in stages. Ongoing management from go-live.

Custom software development, built around the way you already work.

Every business has a way of working that wins it clients: how it prices, schedules, follows up and looks after people. Off-the-shelf software is built for the average business, so sooner or later you start bending your process to fit it.

We build the other way round. We learn how your work runs, then build software that fits it, whether that is a quoting tool for a roofer, rostering for a cleaning contractor, bookings for a multi-room clinic or a client portal for a strata services firm. It connects to Xero, MYOB and the tools you already rely on.

We are a Melbourne studio that also runs Google Ads and SEO, so we build with the numbers in mind: where each enquiry came from and what it turned into.

Signs you have outgrown off-the-shelf software

Typically owner-run trades and service businesses with a few to twenty staff: builders and electricians, clinics, cleaning companies, property and strata services, consultancies, agencies, training and events, hospitality groups. Many started on ServiceM8, HubSpot, Deputy or a spreadsheet, and the business grew past it.

Workarounds have become the process

Half the job happens in the software and the other half in notes, group chats and memory, because the tool has no place for how you actually work.

A spreadsheet runs on the side

The real schedule, price list or client tracker lives in a shared sheet next to the software you pay for, and someone keeps the two in step by hand.

You type the same details twice

A new client goes into the CRM, then the job or booking system, then the accounts. Every re-type costs time and invites a mistake.

You pay for seats and features you do not use

The plan that has the one feature you need also bills you for ten you never open, for every person who logs in.

The software is changing how you work

You have reshaped a process that wins you clients just to fit the tool, rather than the tool fitting the process.

Twelve kinds of custom business software

For each: the everyday problem, what we would build, why building it around you works better, and what changes. These are kinds of tools we build, not past client projects.

Sales

Quoting and estimating tools

The problem. Quotes take hours, depend on one person's head, and come out differently depending on who writes them.

What we build.

  • Your pricing rules turned into formulas: waste, access, minimums, travel, margins
  • Live supplier and labour rates
  • Branded quote documents, sent and tracked

Why built around you. Generic quoting works from a price list. Yours works from the logic you already use, such as a roof measuring tool for a roofer or a scope-and-fee builder for a consultancy.

What changes. Quotes go out the same day, priced consistently, and anyone on the team can write one.

Often outgrown or extended: ServiceM8, Tradify, Fergus, Buildxact, Xero quotes.

Sales

Instant quote calculators for your website

The problem. Visitors want a rough price now, and a "contact us for a quote" form loses them.

What we build.

  • A calculator built on your real pricing
  • Job details captured with the enquiry
  • Leads sent straight into your CRM or job system

Why built around you. Form-builder calculators handle flat pricing. Yours can handle inputs that affect each other, like room counts and frequency for a cleaning company.

What changes. More enquiries arrive already qualified, with the details you would otherwise chase.

Often outgrown or extended: Calconic, Outgrow, involve.me, form-builder calculators.

Custom CRMs and lead management

The problem. Leads come from the website, Google Ads, phone calls and referrals, and follow-up depends on who remembers.

What we build.

  • Pipeline stages named the way you sell
  • Every lead, quote and job on one record
  • Reminders and follow-ups that match your process
  • Won jobs reported back to Google Ads

Why built around you. A template pipeline means side spreadsheets. A CRM built around your stages, such as "site visit booked" or "proposal with board", gets used. The cost does not climb with each new user.

What changes. Nothing slips through, and you can see which enquiries turn into paid work.

Often outgrown or extended: HubSpot, Pipedrive, Zoho CRM, Capsule, the client records in ServiceM8 or Tradify.

Job and service management add-ons

The problem. Your job app covers most of the work, but compliance steps, sign-offs or reports for insurers and strata managers happen outside it.

What we build.

  • Custom checklists, forms and sign-offs
  • Reports generated in the format your clients need
  • Built to work alongside the app you already use

Why built around you. You keep the app your team knows and add the part that is specific to your work.

What changes. No more paperwork after the job, and reports go out complete the first time.

Often outgrown or extended: ServiceM8, simPRO, AroFlo, Tradify, Fergus.

People

Rostering and staff scheduling

The problem. Building the roster means checking qualifications, inductions, travel and client hours by hand, and the mistakes show up later.

What we build.

  • Rosters checked against your rules before they go out
  • Alerts for missing inductions or clearances
  • Client hours and budgets tracked per site

Why built around you. Cleaning contractors, care providers and event crews work under rules a general tool does not check. Yours checks them every time.

What changes. Fewer roster errors and fewer awkward calls to clients.

Often outgrown or extended: Deputy, Tanda, Employment Hero, Humanforce. We connect to these for payroll rather than replace them.

Clients

Booking systems

The problem. Your availability depends on more than a calendar: staff, rooms, equipment, travel time or job size.

What we build.

  • Availability from your real constraints
  • Deposits and rules per service
  • Bookings written straight into your job or client system

Why built around you. A clinic with several practitioners and rooms, or a training business with venues and capacity limits, needs booking that understands its setup.

What changes. Fewer double bookings and phone calls, and more bookings taken after hours.

Often outgrown or extended: Calendly, Bookeo, Square Appointments, Fresha, Cliniko.

Clients

Client portals

The problem. Clients ring and email to ask where things are up to, and the answer sits across several systems.

What we build.

  • A branded login for each client
  • Job or project status, documents, quotes and invoices
  • Approvals and uploads in one place

Why built around you. A strata services business, consultancy or agency can show clients exactly what they need, drawn from its own data.

What changes. Fewer "where are we up to" calls, and a client experience that looks as organised as you are.

Often outgrown or extended: SuiteDash, Copilot, the HubSpot customer portal, portals inside job apps.

Operations

Inventory and materials tracking

The problem. Stock lives in the yard, the vans, the venue or the storeroom, and nobody knows what is where.

What we build.

  • Stock tracked by location and job
  • Accepted quotes reserving materials
  • Low-stock alerts and reorder lists

Why built around you. Stock that is cut to size, allocated per job or shared across venues does not fit a retail inventory model.

What changes. Less waste, fewer emergency supplier runs, and job costs you can trust.

Often outgrown or extended: Cin7, Unleashed, inFlow, Katana, Xero inventory.

Reporting

Reporting dashboards

The problem. Your numbers sit in the ad platforms, CRM, job system and accounts, and putting them together takes a day each month.

What we build.

  • One screen for enquiries, quotes, wins, revenue and cost per lead
  • Data pulled automatically from each system
  • Views for owners and managers

Why built around you. The measures that matter to you, such as cost per booked job, need data from several tools at once.

What changes. You see what is working this week, not at month end.

Often outgrown or extended: Looker Studio, Power BI, Databox, built-in reports.

More on custom reporting dashboards
Operations

Workflow and approvals

The problem. Purchases, variations and discounts wait in someone's inbox, and there is no record of who agreed to what.

What we build.

  • Approval routes based on amount, job type or client
  • Notifications and reminders
  • A full audit trail

Why built around you. Real approval rules get fragile when strung across several automation tools. Built once, they hold.

What changes. Decisions happen faster, and you can answer "who approved this?" in seconds.

Often outgrown or extended: Zapier, Make, Power Automate, monday.com.

More on custom workflow automation
Internal tools

Spreadsheet replacements and internal databases

The problem. A shared spreadsheet has quietly become the system that runs the business.

What we build.

  • Forms instead of raw cells
  • Permissions by role
  • Validation and a history of every change

Why built around you. You keep the structure your team understands and add the rules a spreadsheet cannot enforce.

What changes. Fewer errors, no overwritten columns, and you know who changed what.

Often outgrown or extended: Airtable, Notion, Smartsheet, Google Sheets, Retool.

More on custom database development
Integrations

Connections between the tools you already use

The problem. Your tools do not talk to each other, so people copy details from one to the next.

What we build.

  • Enquiries into the CRM, accepted quotes into the job app
  • Finished work into Xero or MYOB
  • Won jobs sent back to Google Ads

Why built around you. Built-in integrations often miss the fields you need. A connection built for your setup carries everything.

What changes. Data entered once, correctly, and hours of admin back every week.

Often outgrown or extended: Each tool's built-in integrations, Zapier, Make.

How a custom software project runs

Five stages, with a fixed price agreed before any code gets written.

01

Discovery

We learn how the work happens now: who does what, in which tools, and where time goes.

02

Scope and fixed quote

A written scope with milestones, payment stages, the ownership option and a fixed build fee. Additions get their own quote first.

03

Build in stages

You see and test each milestone on real work before we move on.

04

Go-live

We move your data across, set up logins, walk your team through it and switch over.

05

Ongoing management

Hosting, monitoring, updates, fixes and small improvements, monthly from go-live.

How custom software pricing works

Every build is different, so there is no price list. You see both figures, in writing, for an agreed scope, before we start. Any third-party tools your build connects to, such as Slack, Stripe or an SMS provider, run on your own accounts, and you pay those subscriptions or fees directly.

Done our AI Tools Assessment? Its fee comes off the price of any build that follows.

A one-off build fee

Fixed in your quote. Pay it upfront, or in stages tied to milestones, for example 50/50, or 40/40/20.

Ongoing management

Every build comes with it: hosting, monitoring, updates, fixes and small improvements, billed monthly from the day the software goes live. Software needs looking after to keep working as your business and the tools around it change.

Who owns the code, and who owns the data

We agree code ownership per project, in writing, before the build starts. There are two options.

Default

We keep the code, you hold a licence

Scalepoint owns the code and you get a licence to use the software in your business. You can buy the code out later if your plans change.

Option

You own the code once it is paid for

Ownership of the code passes to you when the build fee is paid in full.

Your data is always yours, whichever option you choose: your clients, jobs, bookings and records belong to your business, not to us.

Common questions about custom software

How much does custom software cost in Australia?+

It depends on what the software has to do, so we do not publish a price list. You get a fixed build fee and the monthly management fee in writing, for an agreed scope, before any work starts. Third-party tools your build connects to, such as Slack, Stripe or an SMS provider, run on your own accounts and you pay those fees directly.

How long does a build take?+

Your quote lists each milestone with a target date before you commit. Larger systems go live in stages, so you start using part of it early.

Can you add to ServiceM8, Cliniko or HubSpot instead of replacing it?+

Yes. Where the tool allows it, we build the missing piece alongside it and keep the parts your team already relies on.

Why does every build include ongoing management?+

Software needs looking after to keep working. Browsers, phones and the tools it connects to change, and your business changes too. Management keeps it hosted, monitored, updated and improving, starting the day it goes live.

What happens if I stop the monthly management?+

Management has no fixed minimum term unless we agree one for your project. Your quote sets out what happens to hosting and to your data if you stop, before you sign anything.
