Custom booking system for trades and service businesses.

A custom booking system that only offers times your business can really deliver. For tradies, clinics, training providers, hire companies and other service businesses across Australia: availability worked out from your staff, travel, job sizes, rooms and equipment, with every booking written straight into the systems you already use.

A fixed written quote before we start. Pay upfront or in stages. Ongoing management from go-live.

Online booking that knows how your day really works.

Most online booking systems are built around one idea: a person with a calendar and slots of a set length. That suits a hairdresser or a single consultant well. It suits a business whose availability depends on who is qualified, where they are, how big the job is and what equipment it needs far less well.

When the booking app cannot see those things, the business has two choices. Offer online booking and fix the clashes by phone, or switch it off for anything complicated and take bookings by hand. Either way, the office does the work the software was meant to do.

A custom booking system starts from what actually decides when you can take a booking. It asks the questions that size the job, offers only times that work, takes the right deposit, and hands the booking to your job system or client records already complete.

Bookings are one of the tools we build under custom software development, for trades and service businesses alike.

Signs you have outgrown your booking app

Usually a business with several staff, rooms, vehicles or venues that started on Calendly, Bookeo, Square Appointments, Fresha or SimplyBook.me, or still takes most bookings by phone.

The calendar says yes, the day says no

Online booking shows a free slot, but the only person qualified for that job is on the other side of town, or the room or equipment is already taken.

Every booking gets retyped

A booking arrives in the booking app, then someone copies it into the job system, the client record and the calendar, and corrects the details by phone.

Most bookings still come by phone

Your booking rules are too complicated for the app, so you keep online booking for the easy cases and take everything else on the phone, often after hours.

Deposits and cancellations are handled by hand

Different services need different deposits, cancellation windows and reminders, and the app only lets you set one rule for everything.

What decides when you can take a booking

Six things a custom booking system can take into account that a single calendar cannot. Yours might need two of them or all six.

People

Who can do the work

Which staff hold the right licence, training or registration for each service, who works which days, and which clients have a preferred person.

Travel

Where the work is

Service areas, travel time between suburbs and how far apart today's jobs already are, so a free slot is only offered if someone can actually get there.

Duration

How big the job is

Job length worked out from the answers, such as the number of units, rooms, systems or people, rather than a fixed slot length for every booking.

Resources

Rooms, vehicles and equipment

Treatment rooms, training venues, vans, hire items and specialist equipment, each with its own availability and turnaround time.

Capacity

How many at once

Group classes, courses, tours and events with minimum and maximum numbers, waitlists, and different prices for different places.

Policies

Deposits and rules per service

Deposits, prepayment, cancellation windows, lead times and blackout dates set for each service, applied automatically at the moment of booking.

The parts of a booking system

Most builds use some of these, shaped to your business. We scope only the parts you need, and add more later as the business changes.

Custom booking system or a booking app?

The deciding question is how many things have to line up before you can say yes to a time.

A booking app

Fits appointment-style bookings

Calendly, Bookeo, Square Appointments, Fresha, SimplyBook.me and Cliniko are quick to set up and reliable. If each booking is one person, one slot of a known length, in one place, one of them is the right answer.

The trade-off is that the app decides what availability means. Anything beyond a person's calendar has to be managed around it.

A custom booking system

Fits how your day actually runs

A custom build starts from your constraints. It suits businesses that travel to customers, share rooms or equipment between staff, run sessions with limited places, or need each booking to arrive in a job or client system complete.

When you add a service, a staff member or a new area, the rules are updated as part of ongoing management.

There is also a middle path. Keep the app that handles your simple appointments and build only the part it cannot do, such as group programs, equipment bookings or a booking flow for jobs at the customer's address, connected to the same records.

What a custom booking system looks like in different businesses

Illustrative examples to show how the same idea fits different work. They are not past client projects.

Trades

A pest control or air-con servicing business

Customers enter their suburb, property size and the service they need. The system works out the job length, checks which licensed technicians are working in that area that day, and offers times that fit around jobs already booked nearby. The booking lands in the job app with the property details attached.

Health

A multi-practitioner allied health clinic

The clinic keeps its practice software for clinical notes and billing. Alongside it, a booking system handles what the practice software cannot: group programs with limited places, room allocation across practitioners, and first-visit bookings that ask the right questions before the appointment.

Training

A training provider

Courses run at several venues with minimum and maximum numbers. Learners book and pay online, employers book groups of staff on one invoice, and courses that have not reached their minimum by a set date trigger a decision for the office rather than a last-minute cancellation.

Hire

An equipment or event hire business

Each item has its own stock, delivery and collection windows and cleaning time between hires. Customers see what is actually available for their dates, pay a deposit, and the delivery run for the day is built from the bookings.

Connected to the tools you already use

A booking is the start of the work, not the end of it. We connect it to the systems that carry it forward, and never rebuild accounting or payments.

Job apps

ServiceM8, simPRO, Tradify, AroFlo

Bookings written straight into your job app as jobs, with the customer's answers filled in.

Practice software

Cliniko and similar

Where you keep practice software, we build around it through its integration options rather than replace it.

Payments

Stripe and Square

Deposits and payments through established providers. Card details never sit in your booking system.

Accounts

Xero, MYOB, QuickBooks

Payments and invoices recorded in your accounting software, where GST and BAS belong.

Calendars

Google and Outlook calendars

Each booking appears in the right person's calendar, and their personal commitments block out the time.

Advertising

Google Ads and Meta

Completed bookings reported back as conversions, so your campaigns learn which clicks turn into booked work.

Moving bookings across without missing one

Future bookings, customer records and recurring appointments come across from your current app, checked with you before the switch. Customers keep the times they already have.

  • Upcoming bookings and deposits carried across intact
  • Booking links and buttons on your website switched on the day
  • The new availability tested against real past weeks first
  • A walkthrough for the office on phone bookings and overrides

If you are keeping your current app for simple appointments, only the new booking types move.

How a booking system project is priced and run

A booking project runs the same way as every custom software build: discovery, a written scope with a fixed quote, building in stages you test against real bookings, then go-live and ongoing management.

Every set of booking rules is different, so there is no price list. You see both figures, in writing, for an agreed scope, before we start.

A one-off build fee

Fixed in your quote after discovery. Pay it upfront, or in stages tied to milestones.

Ongoing management

Every build comes with it: hosting, monitoring, updates, fixes and small improvements, billed monthly from the day your booking system goes live. New services, staff, areas and rules are part of looking after it.

Who owns the system, and who owns the data

We agree code ownership per project, in writing, before the build starts. There are two options.

Default

We keep the code, you hold a licence

Scalepoint owns the code and you get a licence to use the booking system in your business. You can buy the code out later if your plans change.

Option

You own the code once it is paid for

Ownership of the code passes to you when the build fee is paid in full.

Your data is always yours, whichever option you choose. Customers, bookings and payment records belong to your business, and you can export them at any time.

Common questions about custom booking systems

What is a custom booking system?+

A booking system built for one business. It works out real availability from that business's own constraints, such as staff skills, travel time, job length, rooms and equipment, applies its own deposit and cancellation rules, and writes each booking into the systems the business already uses.

Why not just use Calendly, Fresha or Square Appointments?+

For one person taking appointments of a set length, you should. Those tools are quick, reliable and inexpensive. A custom booking system earns its place when availability depends on more than one calendar, when job length varies, or when every booking has to land in a job or client system without retyping.

Can it work alongside Cliniko or our job app?+

Yes. Where your current software allows it, we build the booking side around it, so your team keeps the system they know for clinical notes, jobs or invoicing, and bookings arrive in it already complete.

How are deposits and payments handled?+

Through established payment providers such as Stripe or Square, with deposit, prepayment and refund rules set per service. Card details are handled by the provider and never stored in your booking system, and payments are recorded in Xero or MYOB.

How much does a custom booking system cost?+

It depends on how many constraints, services and integrations it has to handle, so there is no price list. After a discovery session you get a fixed build fee and the monthly management fee in writing, for an agreed scope, before any work starts.

Who owns the booking system and our customer data?+

Your data, including every customer, booking and payment record, is always yours, and you can export it at any time. Code ownership is agreed in writing before the build: by default we keep the code and you hold a licence to use it, with the option to buy it out, or the code becomes yours once the build fee is paid in full.
