Custom job management software for trades and service businesses.
Custom job management software that runs jobs the way your team already does. For tradies, cleaning contractors, property maintenance and other field service businesses across Australia: your stages, your checklists and the reports your clients ask for, built alongside the job app you use now or as a system of your own.
A fixed written quote before we start. Pay upfront or in stages. Ongoing management from go-live.
Job management that follows your work, start to finish.
Job management software such as ServiceM8, simPRO, AroFlo, Tradify and Fergus does a lot well. It schedules visits, records time and materials, and raises invoices. For a standard service call, it is hard to beat.
The trouble starts with the parts that are specific to your work. Compliance steps, client approvals, insurer reports, contract site checklists and multi-stage jobs rarely fit a general template, so they happen outside the app: in PDFs, spreadsheets, group chats and the office manager's memory.
Custom job management software brings those parts into one place. It can be an add-on that sits next to your current job app and fills the gaps, or a field service system of your own when the gaps have become most of the job.
Job management is one of the tools we build under custom software development, for trades and service businesses alike.
Book a free strategy callSigns you have outgrown your job app
Usually a business with crews or cleaners in the field, an office keeping it all together, and a job app that covers the routine visits but not the work that makes the business different.
Paperwork still happens after the job
The job app records the visit, but compliance forms, sign-offs and client reports are filled in later on paper, in a PDF or in someone's evening.
Your stages are not its stages
Your work moves through inspection, approval, make-safe, scheduling, completion and certification. The app has "quote", "work order" and "invoice", so the real status lives on a whiteboard.
Clients want reports in their format
Strata managers, insurers, builders and facility managers each want evidence in their own layout, and someone rebuilds it by hand for every job.
Every new crew member is another seat
Per-user pricing means subcontractors and casuals share logins or stay off the system, and their part of the job goes unrecorded.
Add to your job app, or a system of your own
The right shape depends on how much of your work the current app already handles well. We will tell you which one fits after discovery.
Keep the app, fill the gap
Your team keeps the job app they know for scheduling, time and invoicing. We build the missing part next to it: the compliance forms, the client reports, the approval stage or the contract site checklists, connected through the app's integration options.
This is usually the faster, lower-risk start, and nothing changes for the parts that already work.
Built around how jobs really run
When the workarounds outnumber the features, a job management system of your own takes over. It suits businesses with multi-stage or multi-party jobs, contract work across many sites, or crews whose size makes per-user pricing a real cost.
It can go live in stages, so the team moves across one job type at a time instead of all at once.
What custom job management software does differently
Six things job software built for one business can do that a general template has to approximate.
The parts of a job management system
An add-on might use one or two of these; a full system uses most of them. We scope only the parts you need, and add more as the business changes.
What custom job management looks like in different businesses
Illustrative examples to show how the same idea fits different work. They are not past client projects.
Connected to the tools you already use
Jobs sit between sales and accounts. We connect to the systems on both sides, and never rebuild accounting or payroll.
Moving live jobs without stopping work
Jobs do not pause for a software change, so switch-over is planned around the work. Clients, sites, assets and job history come across from your current app or spreadsheets, checked with you before go-live.
- Open jobs carried across in the right stage, with their notes and photos
- Recurring service schedules recreated so no visit is missed
- One job type or one crew first, then the rest
- A walkthrough for the office and the field, on their own devices
If you are keeping your job app and adding to it, there is nothing to migrate: the new part simply starts reading and writing the same jobs.
How a job management project is priced and run
A job management project runs the same way as every custom software build: discovery, a written scope with a fixed quote, building in stages you test on real jobs, then go-live and ongoing management.
An add-on and a full system are very different sizes, so there is no price list. You see both figures, in writing, for an agreed scope, before we start.
A one-off build fee
Fixed in your quote after discovery. Pay it upfront, or in stages tied to milestones.
Ongoing management
Every build comes with it: hosting, monitoring, updates, fixes and small improvements, billed monthly from the day your system goes live. New job types, checklists and client report formats are part of looking after it.
Who owns the software, and who owns the data
We agree code ownership per project, in writing, before the build starts. There are two options.
We keep the code, you hold a licence
Scalepoint owns the code and you get a licence to use the software in your business. You can buy the code out later if your plans change.
You own the code once it is paid for
Ownership of the code passes to you when the build fee is paid in full.
Your data is always yours, whichever option you choose. Your clients, sites, jobs, photos and certificates belong to your business, and you can export them at any time.

Common questions about custom job management software
What is custom job management software?+
Job management software built for one business. It tracks each job from intake to invoice through that business's own stages, with the checklists, scheduling rules, client reports and job costing its work actually needs, rather than a general template for every trade.
Should we replace ServiceM8 or simPRO, or build alongside it?+
For most businesses, building alongside is the better start. If your job app handles scheduling and invoicing well and only the compliance, reporting or client-specific part is missing, we build that part and connect it. A full system of your own makes sense when the gaps are everywhere or the workflow itself is what sets you apart.
Does it work on phones in places with poor reception?+
The field app is built for phones first. How much needs to work offline varies a lot between businesses, so we scope it explicitly in discovery rather than assume.
Can it produce compliance certificates?+
It can generate certificates, forms and reports from the information captured on site, in the formats you need. Your compliance obligations stay yours; the software makes them faster to meet and easier to prove.
How much does custom job management software cost?+
It depends on what the system has to do and what it connects to, so there is no price list. After a discovery session you get a fixed build fee and the monthly management fee in writing, for an agreed scope, before any work starts.
Who owns the software and our job history?+
Your data, including every job, site, photo and certificate, is always yours, and you can export it at any time. Code ownership is agreed in writing before the build: by default we keep the code and you hold a licence to use it, with the option to buy it out, or the code becomes yours once the build fee is paid in full.
