Custom software · Quoting

Custom quoting software for trades and service businesses.

Custom quoting software that prices jobs the way your business already does. For tradies, cleaning companies, property services, consultancies and events businesses across Australia: your pricing rules in one place, quotes out the same day, and every accepted quote flowing on into the job and the invoice.

A fixed written quote before we start. Pay upfront or in stages. Ongoing management from go-live.

Quoting software that prices the way you do.

How you price is one of the most valuable things your business knows. It took years to learn which jobs need extra labour, which sites need access equipment, where travel eats the margin and what the minimum worthwhile job is. In most businesses that knowledge sits in one estimator's head or in a spreadsheet that only they can drive.

Off-the-shelf quoting apps are built around a price list: pick a line item, enter a quantity, add a markup. That works for simple jobs. It struggles when the price depends on several things at once, so the real working-out happens elsewhere and only the answer goes into the app.

A custom quote tool turns your pricing into software. You enter what you measure or assess, it applies your rules, and it produces the quote in your format. The knowledge stays with the business, not with one person, and every quote is priced the same way whoever writes it.

Quoting is one of the tools we build under custom software development. As a Melbourne studio that also runs Google Ads and SEO, we build it to show which marketing brings in the quotes you win.

Signs you have outgrown your quoting software

Usually an owner-run business with a few to twenty staff that quotes in ServiceM8, Tradify, Fergus, Buildxact, Xero or a Word template, with the real pricing worked out in a spreadsheet next to it.

Only one person can price a job

The real pricing lives in an estimator's head or a spreadsheet only they understand. When they are on leave or on site, quotes wait.

The price list cannot hold your rules

Your quoting app wants a line item and a unit price. Your pricing depends on pitch, access, storeys, frequency, travel or a minimum charge, so you work it out elsewhere and type the answer in.

Two people, two different prices

The same job comes out at different prices depending on who quoted it, and nobody can say which number was right.

Quotes go out days after the visit

By the time the quote lands, the client has already accepted someone else's. Speed wins work, and your process is the slow part.

What custom quoting software does differently

Six things a quoting and estimating tool built for one business can do that a price list has to approximate.

Pricing

Your rules, written once

Waste factors, labour tiers, access loadings, minimum charges, travel zones and margins become formulas the software applies every time, so the price no longer depends on who is quoting.

Inputs

Priced from the way you measure

Quotes can start from what you actually capture: roof area and pitch, room counts and floor types, hours and staff, or a scope checklist for a consultancy. The software does the arithmetic.

Estimating

Live supplier and labour rates

Material prices and labour costs sit in one place that the office can update. Every new quote uses today's numbers, and you can see the margin before it goes out.

Speed

Quotes out the same day

A quote can be built on a phone at the site or in the office the same afternoon, by anyone you allow, and sent as a branded document your client can accept online.

Follow-through

Accepted quote becomes the job

Accepting a quote creates the job, books the deposit and passes the line items on, so nobody retypes them for the job app or the invoice.

Marketing

Win rates by where work came from

Because we also run Google Ads and Meta campaigns, each quote carries the source of the enquiry, so you can see which campaigns bring quotes that get accepted, not just form fills.

The parts of a quoting system

Most builds use some of these, shaped to your business. We scope only the parts you need, and add more later as the business changes.

Custom quoting software or a quoting app?

Both have their place. The deciding question is how much of your price is a line on a list, and how much is a calculation only your business knows how to do.

A quoting app

Fits price-list quoting

ServiceM8, Tradify, Fergus, Buildxact and Xero quotes are quick to set up and handle line-item quotes well. If most of your jobs are a call-out fee plus parts and hours, one of them is a sensible choice.

The trade-off is that the app decides what a price can be made of. Anything beyond quantity times rate plus markup gets worked out somewhere else first.

Custom quoting software

Fits how you actually price

A custom build starts from your pricing logic. It suits businesses whose price depends on measurements, conditions, frequencies or scope, who want anyone in the team to quote consistently, and who want quotes joined to jobs, invoices and ad results.

When your prices or services change, the rules change with them as part of ongoing management, rather than waiting on a vendor's roadmap.

There is also a middle path. Keep the job app your team already knows and add a pricing engine in front of it. The quote is built with your rules, then written into ServiceM8, Tradify or simPRO as a job with the line items filled in.

What custom quoting looks like in different businesses

Illustrative examples to show how the same idea fits different work. They are not past client projects.

Trades

A roofing business

The estimator enters the roof area from aerial measurements, the pitch, the material and the number of storeys. The software applies waste, access and scaffolding rules, adds flashings and gutters from the supplier list, and produces a branded quote with options for a repair, a restoration or a full replacement.

Cleaning

A commercial cleaning company

A site walk-through captures floor areas, surface types, bathrooms and visit frequency. The quote prices labour hours, consumables and supervision, shows a weekly and a monthly figure, and becomes a contract record with a start date once the client accepts.

Trades

An electrician or solar installer

Each quote is built from assemblies such as a switchboard upgrade or a set number of panels and an inverter, each carrying its own parts, labour and margin. Office staff can quote standard work the same day without waiting for the owner.

Services

A consultancy or events business

A scope builder turns a brief into stages, days and roles, applies the day rates for each role, and adds expenses and contingency. The proposal goes out in the house style, and an accepted proposal sets up the project and its invoicing schedule.

Connected to the tools you already use

A quote is the middle of a chain: an enquiry before it, a job and an invoice after it. We connect to the systems on either side, and never rebuild accounting or payroll.

Accounts

Xero, MYOB, QuickBooks

Invoices and deposits raised from accepted quotes. GST, BAS and payroll stay in your accounting software.

Job apps

ServiceM8, Tradify, simPRO, AroFlo, Fergus

If your team relies on a job app, accepted quotes become jobs in it, with the line items already filled.

Sales

Your CRM

Quotes attached to the client and enquiry they belong to, in HubSpot, Pipedrive or a custom CRM.

Suppliers

Supplier price lists

Price files imported on a schedule, or updated by the office, so material costs stay current.

Payments

Stripe, Square and e-signature

Online acceptance and deposits through established payment providers. Card details never sit in your quoting system.

Advertising

Google Ads and Meta

Accepted quotes reported back as conversions, so the ad platforms learn from the work you actually win.

Moving your pricing out of the spreadsheet

The pricing spreadsheet is usually the best specification we could ask for. We work through it with the person who built it, write down every rule, including the ones that live only in their head, and turn them into the pricing engine.

  • Past quotes re-run through the new engine and compared, line by line
  • Differences explained and either fixed or agreed as a deliberate change
  • Price lists, templates and terms carried across
  • Open quotes kept live so nothing goes missing on switch-over day

Your estimator checks the new quotes before anything goes to a client, so you switch over knowing the numbers are right.

How a quoting software project is priced and run

A quoting project runs the same way as every custom software build: discovery, a written scope with a fixed quote, building in stages you test on real jobs, then go-live and ongoing management.

Every pricing model is different, so there is no price list. You see both figures, in writing, for an agreed scope, before we start.

A one-off build fee

Fixed in your quote after discovery. Pay it upfront, or in stages tied to milestones.

Ongoing management

Every build comes with it: hosting, monitoring, updates, fixes and small improvements, billed monthly from the day your quoting software goes live. New services, price changes and rule tweaks as the business grows are part of looking after it.

Who owns the software, and who owns the data

We agree code ownership per project, in writing, before the build starts. There are two options.

Default

We keep the code, you hold a licence

Scalepoint owns the code and you get a licence to use the quoting software in your business. You can buy the code out later if your plans change.

Option

You own the code once it is paid for

Ownership of the code passes to you when the build fee is paid in full.

Your data is always yours, whichever option you choose. Your price lists, pricing rules, quotes and client records belong to your business, and you can export them at any time.

Other ways we can help

Common questions about custom quoting software

What is custom quoting software?+

Quoting software built for one business. Instead of a generic price list, it holds that business's own pricing rules: how it measures a job, which loadings and minimums apply, and what margin it needs. Anyone allowed to quote gets the same, correct price, and the quote flows on into the job and the invoice.

Can it price from measurements, plans or photos?+

It can price from whatever you capture when you assess a job: measurements, counts, areas, hours or a scope checklist. Where you already use aerial measurement or plan take-off tools, we can bring their figures in rather than having someone retype them.

Can customers get a price on our website?+

Yes. The same pricing engine can power an instant quote calculator on your website, so customers see a price based on your real rules and you receive the enquiry with the job details filled in.

Will it replace ServiceM8, Tradify or Xero?+

Not unless you want it to. Many businesses keep their job app and accounting software and add a quoting engine that writes into them. We never rebuild accounting, GST or BAS; those stay in Xero or MYOB.

How much does custom quoting software cost?+

It depends on how much pricing logic it has to hold and what it connects to, so there is no price list. After a discovery session you get a fixed build fee and the monthly management fee in writing, for an agreed scope, before any work starts.

Who owns the quoting software and our pricing data?+

Your data, including your price lists, quotes and client records, is always yours, and you can export it at any time. Code ownership is agreed in writing before the build: by default we keep the code and you hold a licence to use it, with the option to buy it out, or the code becomes yours once the build fee is paid in full.
